On the CitiDirect navigation bar, click Trade Services. The Trade Services Summary Form appears.
Click the Incoming Messages Tab. All incoming messages with the status of "Unread," "Pending Response," or "Pending Final Response" are listed.
Select the Bill Discrepancy Notification that requires a response. To select multiple incoming messages, drag the cursor down sequential lines or hold the CTRL key as you click to select individual lines that are not sequential.
Click Go To Details. The details of the first selected trade transaction appear on the Trade Services Detail Form
Click the Response Tab.
The Transaction Initiator field is automatically populated.
The Base Number and Branch Code/Name fields are automatically filled based on the branch code from the original message.
The Message Status field is system generated based on the status of the transaction.
The Department Name field is automatically populated.
In the Attention field, enter the name or the customer/trade service representative to whom the message is to be sent.
The Message Sent Date/Time field is generated when the message is submitted.
The Bank Bill Reference Number field is automatically populated based on the original message.
The Message Reference Number field is automatically generated by the system to identify the message.
The Drawer Name & Address field is automatically populated. To view all information in this field, click the multiple line button.
The CCY/Amount field is automatically populated.
The Drawer Reference field is automatically populated.
The Related LC Reference Number field is automatically populated.
The Drawee Reference field is automatically populated based on the original message.
Click the LC Text hyperlink to display the text of the LC Issuance/Advise.
In the Response field, click the drop-down arrow and select either Approved, Await Instruction, or Rejected.
In the Narrative field, enter any additional instructions to the bank. Click the Library Look-Up button to add clauses. Note: This field is required if you have chosen Await Instruction in the Response field.
Click the View Documents hyperlink to display all documents related to this particular transaction.
Click Submit. The outgoing message moves to the next step as defined by Flow Control requirements. The incoming message that was responded to will be updated to a status of "Response in Progress", "Responded", or "Final Response Pending." If multiple messages were selected, click Next. The details of the next message appears. Repeat steps 5 and 6.
