On the CitiDirect navigation bar, click Trade Services. The Trade Services Summary Form appears.
Click the Incoming Messages Tab. All incoming messages with the status of "Unread," "Pending Response," or "Pending Final Response" are listed.
Select the Free Format Incoming message that requires a response. To select multiple incoming messages, drag the cursor down sequential lines or hold the CTRL key as you click to select individual lines that are not sequential.
Click Go To Details. The details of the first selected incoming message appear on the Trade Services Detail Form.
Click the Response Tab.
The Transaction Initiator field is automatically populated.
The Base Number is automatically filled based on the branch code from the original message.
The Message Status field is system generated based on the status of the transaction.
The Branch/Code field is automatically filled based on the branch code from the original message.
The Department Name field is automatically populated.
The Message Sent Date/Time field is generated when the message is submitted.
In the Message Title field, enter an appropriate title/subject for the message.
In the Attention field, enter the name or the customer/trade service representative to whom the message is to be sent.
The Message Reference Number field is automatically generated by the system to identify the message.
In the Select Related Reference field click the drop-down arrow and select either Bill Reference Number or LC Reference Number.
In the LC/Bill Reference Number field, do one of the following:
Click the Library Look-Up button and select a Citibank Reference Number.
Leave the field blank if message is not related to a specific trade transaction.
Use the auto-populated reference number carried over from the original incoming message.
In the CCY/Amount field, click the Library Look-Up button and select a currency. Enter an amount in the Amount field.
In the Narrative field, enter any additional instructions to the bank. Click the Library Look-Up button to add clauses.
Click Submit. The outgoing message moves to the next step as defined by Flow Control requirements. The incoming message that was responded to will be updated to a status of "Response in Progress", "Responded", or "Final Response Pending." If multiple messages were selected, click Next. The details of the next message appears. Repeat steps 5 and 6.
